Inside Sales and Admin Support

Position Summary     

          Creates and maintains customer satisfaction by supporting outside sales with written communications and computer; providing promotional, competitive and problem-solving information utilizing understanding of products; taking and administering customer orders; providing after-sales support; assisting Sales and Marketing through research and persuasive communication of product, promotional and competitive information; supporting Sales and Field Operations through product quality assurance, timely and accurate product order shipping, product inventory control and Customer RMA/support requirement identification. Administer CRM activities as well as selected customer service functions.

Position Details

  Detailed skills and responsibilities include:

  • Support the Sales team, Inside Sales, Field Operations and Marketing (FO&M) by providing administrative support.

  • Review Sales Contracts / POs to ensure L2F can comply. 

  • Organize and forward all required paperwork to onboard new Customers.

  • Review and communicate accurate sales order ship details to Field Operations, Sales and Customers.

  • Investigate, review and provide all required paperwork for order shipment (varies by country).

  • Promote the sale of L2F products and services by furnishing information on pricing, policies, and deliveries; calculating and preparing quotations and forwarding leads to appropriate Sales personnel

  • Monitor L2F Customer contracts to ensure on-going compliance by all parties.

  • Administering Customer Relationship Management System

    • Assisting with the creation of, maintenance and delivering reports on:

      • Current Leads, Opportunities, Orders, Contracts, Invoices

      • Aging detail on each.

    • Monitor and provide CRM support to Sales and management.

    • Continually enhance L2F ability to utilize the full potential of the software – BPM’online.

    • Maintain accurate customer notes pertaining to product, pricing, and shipping information.

  • Establish and maintain accurate inventory controls on all L2F commercialized products.

    • Establish and monitor par stock of appropriate products.

    • Provide reports to Sales and Operations of anticipated inventory levels based on Sales projections with sufficient lead time for production to respond.

  • Ensure order accuracy and on-time delivery by clarifying order information; verifying product availability; inputting the order; tracking delayed orders; resolving or facilitating the resolution of problems; performing pre-ship QA procedures.

  • Provide after sales support by resolving or referring resolution for product, service, or customer problems by clarifying the customer's complaint or concern; where possible determining the cause of the problem; personally resolving the problem or referring to others for resolution; expediting the correction or adjustment; following up to ensure resolution; notifying management

  • Contribute to the Marketing/Sales effort by:

    • Gathering competitive and other marketplace information and keeping management informed;

    • Monitoring customer satisfaction on product performance, customer and technical service, support needs, add-on sales, etc. through follow-up telephone calls and/or electronic communication.

    • Providing reports and taking notes for weekly sales meetings 

  • Ensure consistency and continuity of job results by maintaining detailed procedures for all areas of responsibility.

    • Where procedures are required, working with management to create and format for publication.

  • Maintains technical and professional knowledge by attending training, workshops and trade shows, reviewing publications.

  • Contributes to team effort by accomplishing related tasks as needed.

  • Follow procedures and policies relevant to job functions and L2F.

  • Creating presentations by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Conserving managers’ time as required by reading, researching, and routing correspondence; drafting or proof-reading letters and documents; collecting and analyzing information; preparing reports; initiating telecommunications; and planning and scheduling meetings, conferences, and teleconferences.

  • Conduct general office management including:

    • Planning and executing monthly staff kitchen stock up

    • Periodic restocking of office consumables including stationary and restroom supplies

    • Ensure common areas and public reception areas are kept neat and clean and represent L2F appropriately.

  • Assisting managers by completing special projects as assigned.

Education

       o Associates degree or higher in sales, marketing or business or relevant job experience.

Qualifications:

       o 3-5 years’ office Administrative Assistant experience.

       o Excellent communication and interpersonal skills with demonstrated success in telemarketing/inside sales.

       o Proficiency in administrative support skills including Microsoft Word, Excel, Power Point, Outlook, Access, and CRM

       o knowledge of BPM’online is a plus).

       o Familiarity with Confluence will be an asset.

       o Database program software skills helpful.
